This policy covers two separate things: this website, and the commercial documents you send us. It is written to Canada’s Personal Information Protection and Electronic Documents Act.

B.1This website

These pages set no cookies, run no analytics and contain no scripts of any kind. Loading a page makes no request to any other company; the typefaces are served from this site itself for that reason. The typefaces are served from this site itself for that reason. The company that hosts the site keeps ordinary server logs, as every web host does. We do not read them to identify visitors.

B.1aThe contact form

If you use the form, what you type in it goes to our own server and is then delivered to us as a message in a private Telegram group used by the two people who run Norquin. Telegram Messenger is therefore a recipient of what you put in that form, and it stores that message on its servers outside Canada. We use it because it reaches us in seconds, which is what makes the one business day answer real. If you would rather not have your details pass through it, write to us by email instead, using the address next to the form.

The form holds a hidden field that people never see. It exists to catch automated spam. If it is filled in, the message is discarded.

B.2What we collect

Only what you send us, and only what the work needs: commercial accounting declarations, commercial invoices, packing lists, bills of lading, certificates of origin, correspondence with your broker, and your business contact details. Those documents contain some personal information, usually the names and work contact details of people at your company, your supplier and your broker. We do not ask for personal information beyond that, and we ask you not to send it.

B.3Why we collect it

To check your entries, produce your report, prepare a correction or adjustment where one is owed, and discuss the result with you. That is the entire purpose. We do not use your documents to train anything, to build a public dataset, or to approach your suppliers or your customers.

B.4Consent

You consent by sending us the documents for the purpose above. You can withdraw consent at any time by writing to us, subject only to the records we have to keep of work already carried out and of anything already filed with CBSA.

B.5Who else sees it

YES Express, the licensed customs broker, sees what it needs to see in order to file, correct or adjust an entry for you. Service providers we use to run the work see it in the course of providing that service: this includes large language model services operated by Anthropic (United States), which the check itself runs on, Telegram Messenger for the contact form as described in section B.1a, and ordinary email and file storage. Nobody else. We do not sell data, we do not share your documents with other importers, and we do not use them in marketing.

B.6Processing outside Canada

Some of those providers process data in the United States. While your information is in another country it is subject to the laws of that country, including lawful access by its courts and authorities. If you would rather your documents were not processed outside Canada, tell us before you send them and we will tell you honestly whether we can do the work on that basis.

B.7How long we keep it

For as long as we are working for you, plus the period we need in order to keep a record of our own work and of anything filed on your behalf. Ask us to delete your documents and we will delete them and confirm in writing when it is done. Separately, note that CBSA requires you as the importer to keep your own records for six years.

B.8How we protect it

Access is limited to the people working on your file. Client documents are never published, never used as samples and never put into any public repository. The report shown on the home page is synthetic for exactly that reason.

B.9Your rights

You can ask what we hold about you, ask for a copy, ask us to correct it, and complain about how we handled it. Write to vlad@mail.norquin.com and we will answer within thirty days. If our answer does not satisfy you, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

B.10Changes

Every version of this policy carries a date. If we change how your documents are handled, we will date the new version and tell the clients it affects.
